Terms of service & privacy policy

The following information defines the conditions under which the use of REMEDES is operated by

R4A (Robotics for All) ISSEL (Intelligent Systems and Software Engineering Labgroup) IPL (Information Processing Laboratory) Department of Electrical and Computer Engineering Aristotle University of Thessaloniki Campus GR-54124, Thessaloniki GREECE , (hereinafter "R4A").

REMEDES Terms of Services

Only these Terms of Services apply to any contract made between us in relation to services provided by R4A. These conditions are accepted by the entirety of our community during the registration stage by checking the option entitled “I accept the Terms of Services & Privacy Policy.” Any deviations from these specified conditions are not accepted.

1. Description of the scope of service

R4A operates a reflexes measuring system (REMEDES), provides the system owners with system operation capabilities and provides end-users with free access to their online profiles. All users can register via the REMEDES owners, take a fitness assessment, measure their reflexes via different exercises and see the results online.

2. Access / Contract Confirmation

In order for users to access and use the REMEDES services they must register via a REMEDES owner system. For the registration, the user must define a username/password, provide information on his/her age, gender, height and weight information, and accept the REMEDES Terms of Services & Privacy Policy. Once registration is considered complete, the registered user enters into a contractual relationship with REMEDES under a free membership scheme. This is governed by the provisions set out in the REMEDES Terms of Services & Privacy Policy.

3. Data Use, Data Sharing and Data Forwarding

R4A takes care to respect the legal data protection regulations, in particular the EU General Data Protection Regulation 2016/679.

4. Cancellation

The cancellation of the membership implies the deletion of the user profile and the related data and is possible at any time. To do this, write a short email to privacy-gdpr@olympus.ee.auth.gr to request that we delete your personal information from our database. We may retain an anonymized copy of your measured data records for legitimate purposes (research and archive purposes). Both parties (Registered User and R4A) retain the right to terminate the membership if an Event Outside Our Control takes place. An Event Outside Our Control means any act or event beyond our reasonable control [including without limitation strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster, or failure of public or private telecommunications networks]. R4A will not be liable for any failure to perform or delay in performance of, any of its obligations under these Terms and Conditions that is caused by an Event Outside Our Control.

6. Liability of R4A

If R4A fails to comply with these terms and conditions, R4A is responsible for loss or damage the registered user suffers that is a foreseeable result of its breach of these Terms and Conditions or its negligence, but R4A is not responsible for any loss or damage that is not foreseeable.

7. Responsibilities and Obligations of the Registered User / Prohibited Practices / Exemption

The registered user is alone responsible for the content of their application and therefore for the information he/she provides about himself/herself. The registered user assures that the data given are true and describe him/her personally. Both parties agree that R4A has the right, but not the obligation, to verify the accuracy of the data if necessary. The registered user assures that in the context of offers and services from R4A he/she will not use any photographs, text, software or any other copyrighted information without having the necessary rights or consents for them. The registered user complies with all applicable laws for registration and use of the contact portal.

The registered user should under no circumstances (prohibited conduct) give username and password identifiers to third parties or share those with third parties. An inadmissible commercial or business use in the sense of this provision is in particular the provision of goods or services in return for payment of any kind, the solicitation of making an offer, or a reference to an attainable offer elsewhere.

If the registered user breaches any of the obligations listed in this section 6, R4A can be entitled to require compensation for any resulting damage or expenses. This does not apply if the registered user did not know he or she was committing a breach of section 6 and was not reckless in the sense of not caring whether or not he or she was committing a breach of section 6.

8. Blocking on Suspicion

R4A is entitled, in the case of a complaint from a third party, and on suspicion of a violation or breach of these terms and conditions, to delete the member’s content, which triggered this suspicion or complaint. The complaint itself, however, does not serve as justifiable grounds for R4A to terminate the registered user’s contract. For termination of the contract, a breach of the conditions specified in these Terms of Services has to be identified.

If a warning is deemed reasonable by R4A, R4A must give the user the opportunity to eliminate the suspicion or to remedy the situation before blocking or removing the content. If a warning is not reasonable, for example, because the blocking or removal is needed to prevent a possible damage to R4A or another user, R4A will inform the customer immediately afterwards about the blocking or removal and then give them the opportunity to comment and request help.

R4A can always delete the content or keep the profile blocked when R4A is requested to do so by a court or by state authorities, or if the contract is terminated in accordance with these Terms of Services. The same applies if the cancellation or revocation is necessary to prevent an imminent harm to R4A or another user.

REMEDES Privacy Policy

This Privacy Policy sets out REMEDES policy with respect to information, including in particular information which identifies you personally (known as 'personally identifiable information' in the USA or 'personal data' in the European Union, which together we'll call "Personal Data") and other information that is collected from visitors and users of the Services.

Please read this privacy policy carefully so that you understand how we will treat your information.  By using any of our Services, you confirm that you have read, understood and agree to this privacy policy.  If you do not agree to this policy, please do not use any of the Services.  If you have any queries, please email us at privacy-gdpr@olympus.ee.auth.gr

Information We Collect

When you interact with us through the Services, we may collect Personal Data and other information from you, as further described below: Personal Data That You Provide Through the Services: We collect Personal Data from you when you voluntarily provide such information, such as when you contact us with inquiries, register for access to the Services or use certain Services, which typically includes your:

  1. Username
  2. Encrypted password (using MD5 hash algorithm)
  3. Age
  4. Gender
  5. Height
  6. Weight
  7. Response times (deactivation times after the REMEDES pads activations), including successful and failed deactivations.
  8. Type and time of exercises you perform with the REMEDES system.

By voluntarily providing us with Personal Data, you are consenting to us using them in the context of the Services and in accordance with this Privacy Policy.

We may store such information in our infrastructure or such in databases owned and maintained by R4A's affiliates, agents or service providers, located in the European Union. The Services may use such information and pool it with other information on an anonymized and generalized basis to track, for example, the total number of users of our Services.

Our Use of Your Personal Data and Other Information

By providing us with the information about you discussed above, you consent for us to use that information in the following ways:

  1. to gather raw deactivation times data in order to produce statistics and trends, based on exercise types, age/gender categorization or any other categorization that has been defined by the REMEDES system owner.
  2. to include your anonymized data in publicly available aggregated statistics
  3. to use your anonymized data for scientific purposes (in research projects, scientific publications etc)

Our Disclosure of Your Personal Data and Other Information

R4A is a research group and data capturing and processing is done for scientific purposes. Legal Requirements: R4A may disclose your Personal Data if required to do so by law or in the good faith belief that such action is necessary to (i) comply with a legal obligation, (ii) protect and defend the rights or property of R4A, (iii) act in urgent circumstances to protect the personal safety of users of the Services or the public, or (iv) protect against legal liability.

Your Choices

You can visit the Services without providing any Personal Data. If you choose not to provide any Personal Data, you may not be able to use certain REMEDES Services.

Where and how we store your personal information

The information that we collect from you will be held in servers in the European Union.

Children

R4A does not knowingly collect Personal Data from children under the age of 16 without written parental consent. If you are under the age of 16, please do not submit any Personal Data through the Services, unless written parental consent has been provided. We encourage parents and legal guardians to monitor their children's Internet usage and to help enforce our Privacy Policy by instructing their children never to provide Personal Data on the Services without their permission. If you have reason to believe that a child under the age of 16 has provided Personal Data to ISSEL through the Services without a submitted parental consent, please contact us, and we will endeavor to delete that information from our databases.

Links to Other Web Sites

This Privacy Policy applies only to the Services. The Services may contain links to other web sites not operated or controlled by R4A (the "Third Party Sites"). The policies and procedures we described here do not apply to the Third-Party Sites. The links from the Services do not imply that R4A endorses or has reviewed the Third-Party Sites. We suggest contacting those sites directly for information on their privacy policies.

Security

R4A takes reasonable steps to protect the Personal Data provided via the Services from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. However, no Internet or e-mail transmission is ever fully secure or error free; any transmission is at your own risk. In particular, e-mail sent to or from the Services may not be secure. Therefore, you should take special care in deciding what information you send to us via e-mail. Please keep this in mind when disclosing any Personal Data to R4A via the Internet. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access.

Registered REMEDES users will have a username and a password, which enables you to access certain parts of our Services.

You are responsible for keeping them confidential. Please don't share them with anyone.

Other Terms and Conditions

Your access to and use of the Services is also subject to the Terms of Services mentioned above.

Your rights

EU data protection legislation gives EU citizens the right to access information held about you. You may also email us at privacy-gdpr@olympus.ee.auth.gr to request that we delete your personal information from our database. We may retain an anonymized copy of your measured data records for legitimate purposes (research and archive purposes).
